This is where you can enter your company’s main details:
  • Company name
  • Main contact
  • Upload a company logo (PNG format)
  • Full address
  • Tax ID
  • Bank information
    • Bank name
    • Bank address
    • IBAN (routing) number
    • Swift code
    • Account number
    • ABA
Once done, hit the blue Save button in the upper righthand corner of the page.

Member Types & Permissions

Vayu supports three member (user) roles, each with different permission levels:

Admin & Controller

Admins & Controllers have full access to all features and settings in Vayu. This role is designed for account owners and senior team members who need complete control. Key capabilities:
  • Full access to all invoices, customers, plans, and products
  • Configure account settings and integrations
  • Manage all members (invite, update roles, remove)
  • Access all reports and revenue data
  • Full access to measurements, meters, and events
Only members with Admin role can invite new members and manage existing members.

Developer

Developers have focused access to technical features needed for integration and data management. This role is designed for engineering teams implementing Vayu. Key capabilities:
  • Full access to measurements, meters, and products
  • Read access to events
  • View phase labels and pricing (read-only)
  • Full access to jobs
  • Limited access to other features

Adding Members

  1. Navigate to Settings in the sidebar
  2. Select the Members tab
  3. Click Invite new member
  4. Enter the member’s email address
  5. Select the appropriate role (Admin, Controller, or Developer)
  6. Click Send invitation
The member (user) will receive an email invitation with a link to create their account. The invitation link is valid for a limited time.

Pending invitations

You can view and manage pending invitations in the Invitations section on the Members tab:
  • View status: See all pending invitations
  • Resend invitation: Send the invitation email again
  • Cancel invitation: Revoke an invitation before it’s accepted
Invitations expire after a set period and will need to be resent if not accepted in time.

Removing Members

  1. Go to Settings > Members
  2. Find the member in the members table
  3. Click the remove icon (trash) next to their name
  4. Confirm the removal
Removing a member immediately revokes their access to your Vayu account. This action cannot be undone.

Updating Member Roles

To change a member’s role:
  1. Go to Settings > Members
  2. Find the member in the members table
  3. Click the role dropdown next to their name
  4. Select the new role
The role change takes effect immediately.

Entities

The Entities page mainly manages subsidiaries.  When you enter, you will see the Subsidiaries Management section where you can + Create New entries. When you press the + Create New button, you’ll be presented with a window to fill in essential data such as the company name, tax ID, and address information. Image Hit Next to enter financial information such as the bank name, account number, IBAN (routing number), Swift code (if relevant) and ABA. Finally, hit Create. Once entered, subsidiaries will be listed with the date the entry was created and the tax ID.

Sync with ERP

You can sync Vayu-entered subsidiaries with those listed in an integrated ERP such as NetSuite. Choose from a dropdown list of subsidiaries from either side of the integration, and the two entities will sync.

Invoice Preferences

Invoice preferences control how invoices are generated, displayed, and sent to customers. These settings apply globally across your workspace.

☐ Hide zero amount line items

Removes invoice line items with a total amount of zero, helping keep invoices clean and easier to read.

☐ Hide price breakdown in invoice PDF

Hides the price calculation columns (such as quantity and unit price) and displays only the total amount per line item in the invoice PDF. Controls whether usage is shown only as an aggregated total or broken down by related child entities when parent–child customers are used.

☐ Add payment wallet info on invoice

Includes payment wallet details on invoices. This may be relevant for customers that accept alternative payment methods such as cryptocurrency.

☐ Set issue date and due date upon approval

Defines how the invoice issue date is determined:
  • Use the approval date as issue date, or
  • Use the expected issue date for the billing period, even if the invoice is approved later.

☐ Automatically send approved invoices

Automatically emails invoices to the configured billing contact as soon as they are approved.

☐ Deduct credits from following invoice

Controls how customer credits are applied:
  • When enabled, credits are automatically deducted from the next issued invoice.
  • When disabled, credits can be applied manually to an invoice of your choice.
Adds a link to the customer portal in invoices, allowing customers to view invoice status and related usage information.

Billing email and BCC

Configures the sender address for invoice emails (billing email) and optional BCC recipients (invoicing bcc address) who should receive a copy of every invoice.
